TERMS & CONDITIONS


Rates

The room rate is the rate per room based on a maximum occupancy of two people including breakfast. We are currently not vat registered. No discount is provided for single person occupancy. Any additional occupant (if permitted e.g a child) will be subject to an additional charge. Non residents are not permitted to access the bedrooms.


Arrival and Departure

Check in is from 3pm until 10pm and check out by 11am (to allow time for the room to be prepared for guest arriving on the same day). Should you require earlier or later check in or check out times, please do not hesitate to ask and we will accommodate this where we are able to do so.


Payment

Payment in full is required on booking to secure the room. Unfortunately, we are currently unable to take card payments over the phone and will need to provide our bank details to enable a bank transfer to be made. Please contact us to obtain these.


Our cancellation policy

We appreciate that there may be an occasion on which it becomes necessary for you to cancel your booking. In order that we may ensure that we do not stock fresh food unnecessarily (thus resulting in waste) and/or are able to take a booking from someone else, please let us know as soon as possible.


For cancellations received more than 7 days prior to the arrival date, we will refund your payment in full (subject to deduction of any bank charges incurred in doing so).

For cancellations received 5-7 days prior to the booked arrival date, we will refund 50% of your payment (subject to deduction of any bank charges incurred in doing so)unless we are able to re-let the room for the same period in which case we will refund in full.

For cancellations received between 24 hours and 5 days prior to the booked arrival date, we will refund 30% of your payment (subject to deduction of any bank charges incurred in doing so)  unless we are able to re-let the room for the same period in which case we will refund in full.


For cancellations received 24 hours or less or in the unlikely event of a no show, no refund will be made.


In the event of  Covid-19 related lockdown restrictions which mean that you are unable to travel or we are unable to host you on your booked dates, we will refund your payment in full.


In respect of any payments received or made (e.g any refund) to a bank account outside the UK, the customer will be responsible for any bank charges incurred (if any).


Pets

We do not accept any pets due to allergies (even hypoallergenic dogs can cause a reaction in a person with an allergy) and for the comfort of guests who may not like animals.


Smoking

This is a no smoking and no vaping property although smoking and vaping are permitted in the rear courtyard where ashtrays are provided. The property has the benefit of a sprinkler system which may be triggered by smoking and the smell is unpleasant for other guests subsequently using the room as it lingers no matter how much cleaning is done – please therefore resist the temptation! Any damage or need for additional cleaning caused as a consequence of disregard of this rule will be charged to the guest. Please do not light candles in the bedroom as this presents a fire hazard. Fire hydrants are situated on the landings.


Safety & Security

The car park, salon and dining room and rear gardens are covered by CCTV (please also see our Privacy Notice for further information on how and why we obtain and retain data and for how long this is retained). In the unlikely event of fire, the fire alarm will sound. Please vacate the property promptly and proceed to the rear courtyard where we will check that everyone is present – do not attempt to gather your belongings.


We confirm that we are registered with the ICO.

 

Environmental policy

In the interest of conserving energy (and saving our electricity bill!!), please turn off the lights in the bedroom when you leave for the day/evening. The lights on the stairwell are operated by PIR system and will come on when movement is detected.

During these strange Covid times, we will not enter your room during your stay e.g to clean, make beds etc. If you require fresh towels or more tea/coffee, please let us know and we will be happy to provide these. In the interests of saving water, we would invite you to use towels more than once if you are happy to do so.


The heating system is on a timer so please do let us know if you are too hot or too cold! Hot water is provided 24 hours.

Turn into Cwrt ty Mawr opposite Caerphilly Business Park and follow the lane straight up into the trees – this bends round to the right when you will see the house which has a large carpark at the front and the entrance to the house is along the path leading from the carpark to the turret.

 

Please note that there are many steps within the property including 5 at the entrance. It is therefore probably not suitable for anyone who has difficulty with steps. The property is unfortunately not wheelchair accessible and is Grade II listed and so we are unable to make any adaptations to cater for this.


Tea and coffee facilities are provided in the bedrooms. Toiletries are also provided in dispensers (body wash, shampoo and conditioner). There is also a hair dryer and we can provide an iron and board if required.


Breakfast is served between 7.30-9.30am on Monday to Friday and 8am – 10am on Saturday and Sunday (and any bank holiday).


Gwern y Domen is on the doorstep offering stunning views and perfect for a walk (even in the rain!). We would be grateful however if guests would leave walking boots, wellies and very wet coats downstairs (boots and wellies may be left either in the turret entrance under the bench or by the back door where there is also a coat rack.

We do also serve Afternoon Teas or just tea & cake and also have a small licenced bar (subject to additional charge).


Allergies

Please could you let us know prior to your arrival if you have any allergies or dietary requirements so that we can ensure that we are appropriately stocked for your needs.


Covid-19

During these strange and uncertain times, we do still require guests to wear a face mask whilst moving around the property in public areas and would recommend (where possible) that social distancing be observed between you and other guests outside your group. We would suggest that you use the toilet facilities in your bedroom rather than the ground floor guest toilet to minimise any risk. Hand sanitiser is provided on each landing in the stairwell and in the breakfast room and salon.


Public liability insurance

We have public liability insurance with Insure UK with an indemnity limit of £2,000,000.


Complaints

We of course hope that you will not have any cause to complain. Should you have any issues during your stay, please speak to either Adrian or Christine and we will do our utmost to rectify any issues. Other staff will not be able to deal with any complaints. If we don’t know about it, we can’t rectify it!!
